Parent News March 30th Virtual School Week 3

Dear Birch Families: 

We are entering our third week of distance learning. Our students have been doing their best to adapt, and parents are also facing their own hurdles in the process.  Some things have been successful and others continue to need improvement.  

Our focus these weeks has been on offering familiarity and continuity for students facing a new daily routine. We feel that our daily community meetings and face-to-face classes have provided that for students. It is obvious when we get together in Zoom meetings that students appreciate maintaining their connections with the Birch community.  As many things are lately, this is a works in progress.  We are seeing that some things are working and others need to be altered.

WHAT WE HAVE BEEN FINDING:

We have been careful not to introduce too many new things at the same time. We have been working with material that should be easy for students to grasp so as not to add to frustrations. We have prioritized tools that students are already familiar with and that we have used in school regularly. We are lucky because many of the systems we use translate easily to a distance-learning format.

That being said, we also experienced frustration with technology and processes.  Many students need reminders of their login information and passwords. Some needed help getting oriented to the tech tools. New schedules are difficult to adapt to.  We struggled with methods of assigning work that makes it easy for students to follow.  We have solved some of those problems, and we are still working on fixing some problems.  

We are seeing that students are managing the new normal in different ways, some more successfully than others. Sometimes our Zoom classes are more social meetings than classes, with students just wanting to connect with other students. And we teachers also miss being with them in person, where we can gently steer, motivate, and mentor students. The physical distance makes that much more difficult.  We are working on developing ways to bridge that gap.  

FAMILY NEEDS ARE DIFFERENT REQUIRING DIFFERENT FOCUSES

In some families students are working independently.  Parents are working from home or away from home, or caring for other siblings. In that case we want to offer easy to follow directions, a lot of teacher support, and a relatively robust schedule that keeps them engaged.

Other families are spending time together, and want the independence of completing work when it’s right for everyone. Some students have taken advantage of the ability to sleep later, and their day begins at different time. Others rise early, and like to get their work done early so the day is open.  Some families want a minimal schedule and other want a full schedule. 

Our goal is for the program we offer to be “just right” for each family. To do that we are offering schedule suggestions, as well as “recommended work” and “optional work”.  In all cases it is up to you as a family to decide what is right for your student.  If you are concerned, want suggestions or have questions please reach out to us so we can all be on the same page.  We don’t expect the same thing for each student, we can be very flexible and accommodate all needs.  

ZOOM SESSIONS ARE SHORTENED – OFFICE HOURS FOR TEACHERS

This week we will focus on meeting with students for about 15 minutes at the start of the class period to explain the activities and take questions. Then we will ask students to sign off and do the work on their own. We have also scheduled open OFFICE HOURS where students can drop in to teacher’s Zoom Rooms for individual assistance and support. We encourage all students to take advantage of this time to get their needs met. In this format it is important that students self-advocate and reach out to us when they are unsure, need support or want to check-in.

MAILED PAPER PACKETS FOR SOME STUDENTS 

Some students were mailed paper packets of material.  (Don’t panic, it wasn’t sent to all)  This work will be gone over during the Zoom Sessions with teachers, and then assignments will be given from there.  YOU DO NOT NEED TO DO ANYTHING WITH THE MATERIAL UNTIL TEACHERS DISCUSS WITH STUDENTS DURING THE WEEK.  Please remind students to have the material available nearby when the meet in the zoom classroom this week.  

SCHEDULES FOR THE WEEK ARE POSTED – WITH RECOMMENDED and OPTIONAL ACTIVITIES

We recognize that each household is managing a variety of different (and new) challenges during this time. In order to assist planning and coordination with this we have posted schedules for each group for the whole week. The schedule is color-coded.   The blocks that you see that are BLUE are OPTIONAL.   The blocks that you see in WHITE are RECOMMENDED.   In general we are offering facilitated learning in the morning, with additional support and options in the afternoon.  As we mentioned before, it is up to each family to decide how they want to interact with what is being offered.

The website at www.dash.thebirchschool.org is the central communication location.  All announcements, schedules and news will be posted there.

Welcome to week 2

We hope you all enjoyed the snow day we had Monday. Teachers took the time to organize lessons and make plans for the upcoming weeks.

We have a few questions about what is working and what is not. We wonder how much time we should spend together in face-to-face schedule Zoom classes. We wonder how to help students who need someone to sit with them and talk through the work. We wonder how to work with everyone’s unique daily schedule. We wonder what kinds of interesting and productive activities kids are doing when they aren’t working on assignments. How can we incorporate the opportunities that being at home offer?

We also wonder how long we might have to learn this way. Some people are saying we might be back to school after April spring break. Others are saying we might not be back this school year. Some nearby private schools and many colleges have already canceled the rest of the academic year until summer break. What will happen is yet to be seen.

With this in mind teachers have focused on programming for students for the next two weeks leading up to Spring Break. We will take the break for the previously scheduled days.

As always, please let us know your feedback, ideas, suggestions, complaints, We are here to support and help you in whatever ways you need at this time. We are all figuring this out together, and there is no right way yet. Thanks for your patience and support.

INDIVIDUAL CHECK-INs FRIDAY 3/20 BY REQUEST

As everyone adapts to the new format, schedule and daily routine we want to offer to assist any student or family. If you would like to talk one -on-one with a teacher today please request to schedule a meeting. Teachers will be adapting and improving our systems over the weekend so we can deliver a program that works well remotely. Please share any ideas or feedback, and look out for a survey coming soon to help us be responsive to all.

News for Wednesday March 18

Welcome to day one of virtual learning. Now that everyone is starting to get oriented to the dashboard and the format we hope we can hold classes and guide students to complete work.

Follow the links on the homepage to the schedule, which is in google docs. From there you can find the links to Teachers’ zoom rooms.

Remember student logins can be found on the “Login Links” tab on the top menu.

Please bear with us as we figure out what works best for everyone. Feel free to give feedback and ideas so we can continue to improve.

We have a couple of computers and iPads that we can lend to students where needed. Again, please reach out and let us know how we can help.

We have scheduled a pickup time at The Birch School for Thursday March 19th between 1:00 and 3:30. We can leave things for pickup outside those times, just reach out and let us know. If you plan to come retrieve items please also let us know to expect you.

Group 3 is reading Totally Joe as a group in English and we have physical copies of the books that we hadn’t distributed yet. The book is also available on Actively Learn if anyone would rather read it online. We will communicate more to arrange for pickups of packets and books and materials.

How are you doing? How will you organize your workspace?

In a roughly one page double-spaced letter, please address the following questions. Feel free to give as much or as little information as you want/need to for each and you can organize it however you want. 

➔ First, how are you doing? Is there anything you are particularly worried or upset about or are you generally doing ok? Do you have family members or friends who you are concerned about, were you a part of activities outside of school that were cancelled, and are there other ways that your life has been significantly impacted by this pandemic? Also, how are you passing this time away from school and other people? 

➔ Think about each of your classes. (English, Math, Science, History, Choices) What are you most anxious to work on/learn in the rest of class? What do you still feel unsure about and would like to learn more about? What are you curious about? What topics do we absolutely need to cover? 

➔ Think about your house and where you will sit to do your work. Do you have a dedicated space to work? Will you move around to work? Is your computer at a desk so that is where you will work? How about reading? Is there a comfortable place you can identify to read? What is most challenging about working from home?

➔ Do you need notebooks, school supplies or anything else from school? (we can arrange for pickup of anything).

➔ For independent silent reading do you have book you are currently reading ? If not take time today to choose something to read. If you need access to ebooks we can rent books on Actively Learn for you. Tell us what you are looking for and we can help find it if you don’t already have a book at home you like.

➔ Lastly, what mindspace are you in concerning school work right now? How much work do you think you will be able to do over the next few weeks, and what type of work would be the most appealing to you? How much do you want your parents to be involved? What kind of help can teachers offer you to best help? Please be honest in this section, as this will help us to calibrate the workload. 

Answer the above questions in a google doc – Name it CHECK-IN 3/17 with you full name and share with a teacher.

We want to introduce everyone to the online tools we plan to use to communicate and deliver learning remotely.

We want parents to feel comfortable with the communication tools, know where to go to find links to the online tools, where to find logins, how to communicate with teachers.

Our goal is to orient everyone to our schedule, which will begin at 8:30 with optional morning activities, then from 9:30 – 10:15 we will meet via zoom and get everyone started on math. At 10:15 we will take a break and open our Zoom room video chat to everyone for a mid-morning check-in and open hangout until 10:30. More info during the orientation sessions tomorrow.

This is an untested plan, and this week we will be rolling out each piece one at a time. We don’t want to try to accomplish too much right away without knowing more about how it’s working for everyone. We need to give students and parents a chance to learn about the new format and get comfortable with the methods.

Let us know what questions you have or if you have concerns of any sort. This plan can be customized to your families needs at this time so please don’t hesitate to talk to us about other ways to work together.

Getting Ready to Roll

Birch School is an adaptive bunch of folks. I am sure that we will adapt to the situation we are presented with and make the most of it.

A few things are clear: It is important to us that we retain our strong sense of community. We want to keep our routines. We want to keep our connections. We are in this together, and we will make it work for all of us.

Our goal is to make learning from home as easy as possible. This webpage will be the go-to for all the latest information. We will post general updates each morning, with directions for students including assignments, links, embedded resources and scheduled zoom meetings.

We encourage parents to also join as members of this site. This will allow two-way communication and access to all of the important information that we will need to pass back and forth.
